Job Requirements of Administrative Assistant:
Key Responsibilities
- Administrative Support: Provide comprehensive support, including the preparation of detailed spreadsheets, client documents, and professional presentations.
- Correspondence Management: Screen and prioritize all incoming correspondence (emails, mail, etc.) to ensure timely responses from the leadership team.
- Sales & Client Proposals: Assist in the preparation of high-stakes sales proposals and client-facing presentations.
- Office Operations: Manage office files, scan documents, answer phones with professional etiquette, and assist with general office projects as assigned.
- Project Coordination: Work independently to meet demanding deadlines for various firm-wide initiatives and client-related tasks.
Required Skills & Qualifications
- Technical Proficiency: Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook .
- Communication: Exceptional phone manners and experience handling multiple incoming calls with a service-first attitude.
- Organization: Strong organizational skills and a 'detail-oriented' mindset to manage complex files and schedules.
Work Ethic: A proactive, self-motivated approach with the ability to work independently in a boutique environment.
Experience: Previous experience in administrative support, preferably within the financial services or professional services industry.
